Western Arborist Services Booking Policy

 

1. Purpose

The purpose of this policy is to outline the procedures and guidelines for booking tree care services with Western Arborist Services. Our aim is to ensure clear communication, efficient scheduling, and satisfactory service for all customers.

 

2. Scope

This policy applies to all customers and staff involved in the booking and provision of tree care services at Western Arborist Services.

 

3. Booking Procedures

 

Requesting Services:

 Customers can request tree care services via phone, email, or website form. All service requests must include details such as the type of service required, the location of the trees, and any specific concerns or requirements.

 

Initial Consultation: 

An initial consultation may be scheduled to assess the site and discuss service needs. This may be conducted in person or remotely, depending on the nature of the request.

 

Service Agreement: 

A written service agreement or estimate will be provided, outlining the scope of work, expected duration, and associated costs. The agreement must be signed and returned to confirm the booking.

 

4. Scheduling

 

Availability: 

Services will be scheduled based on availability and may be subject to seasonal demand. We will make every effort to accommodate preferred dates and times.

Confirmation: A booking confirmation will be sent to the customer once the schedule is finalized. This confirmation will include the date, time, and details of the scheduled service.

 

5. Cancellations and Rescheduling

 

Customer Cancellations:

 Customers must provide at least 24 hours notice if they wish to cancel or reschedule a booking. Cancellations made with less than the specified notice period may incur a cancellation fee of $30.

 

Company Cancellations: 

Western Arborist Services reserves the right to cancel or reschedule appointments due to unforeseen circumstances such as weather conditions, equipment issues, or other emergencies. Customers will be notified as soon as possible, and efforts will be made to reschedule at a mutually convenient time.

 

6. Payment

 

Deposit: 

A deposit of 20%  may be required to secure a booking, depending on the type and scale of the service.

 

Final Payment: 

The balance of payment is due upon completion of the service. Payment can be made by  cash, E-transfer or cheque.

 

Invoicing: 

An invoice will be provided for all services rendered

 

6. Service Conditions

Access Requirements: 

Please ensure that the area where the tree work is to be performed is accessible and free of obstacles. Any special access requirements or restrictions should be communicated to us in advance.

 

Permits:

 It is the customer’s responsibility to obtain any necessary permits or approvals required for tree work, unless otherwise agreed upon.

 

7. Safety and Liability

 

Safety Measures: 

We prioritize safety and will follow industry-standard safety practices. Customers are advised to stay clear of the work area during service.

 

Liability: 

Western Arborist Services is insured and responsible for any damage caused directly by our work. We are not liable for pre-existing conditions or damage resulting from factors beyond our control.

 

8. Policy Review

Review Cycle: This policy will be reviewed annually to ensure its relevance and effectiveness.

Revisions: Any changes to this policy will be communicated to customers in advance.
